The Congregation Council unanimously approved a new facilities use policy and procedure at its regular meeting on July 28th, 2009. While the policy was approved at that meeting, work began in February 2009 when the Support Board formed an ad hoc committee - Kathy Hunt, Becky Schlein, and Dot Williams - to develop it. Other ministries who assisted in the policy with review and input were Worship and Music and Parish Life as well as the Congregation Council.
The purpose of the policy is to communicate what is expected of folks who use church facilities, particularly groups who are not associated with Calvary Lutheran. As part of our mission to the Morganton community, we want to share the use of these facilities, when not in use for Calvary activities, with groups of like convictions and spirit who seek a place for their gatherings. The policy is the most effective way to share our understanding of the respectful use of the facilities we have developed over the years for the worship of God and for Christian fellowship.
While reading the policy and using the form may seem tedious, these actions will help in the long run to ensure that each of us knows what to do when we wish to have a function at the church. There are no fees for using the church for church members, but it is necessary for church members to complete the form in order to reserve that part of the church he or she wishes to use for non-church functions. Members who use the church on an ongoing basis - scout meetings, reading groups, etc. - must complete a form each year in order to update contact information. Small fees are charged for groups not associated with the church who wish to use the facilities.
Groups who are currently meeting at the church on a regular basis (once a week or month, etc.) need to complete a form. These groups, whether associated with Calvary Lutheran or not, will be "grandfathered;" that is, they will not be charged a fee since they have established their reliability in caring for these facilities. However, we need to know which groups these are. To date, only the Crafters' Group and the Epiphany Group have this grandfathered status. If others exist, we need to know the identity as soon as possible.

Letter to Members of Calvary Lutheran Church - introduces the policy and explains how the policy applies to church members
CLC Facilities Use Policy - contains the guidelines for how to reserve church facilities, a signature page for the "hold harmless" agreement, copy of the Facilities Use Request Form, a Facilities Clean-up Checklist, and a Fee Schedule. The entire document should be printed, completed and signed where indicated, and returned to the Calvary Lutheran Church office before the date of your event can be confirmed.
Facilities Use Request Form - is the same document that appears on page 4 of the policy above. The difference is that this form can be completed "on-line," printed, and included in the documents returned to the church office. It saves having to complete the form by hand.
Appendix 1 - Weddings - contains the guidelines for weddings held in Calvary Lutheran Church and places to enter important appointment dates for planning the wedding and your life together as husband and wife.
CLC Facilities Use Policy Procedure - is the document used by the administrators of the policy and shows you how the paperwork flows for reserving the space needed for your event.
